A list of all the permissions you can assign or amend under a role.

Below are all the permissions you can edit or add to the permissions of a role. These control what users assigned to this role can see or do within Sage HR.

📎NOTE: All the permissions listed below appear for all Sage HR companies of all integrations.

If you use Sage HR Essentials UK (integrated with Sage Payroll UK), Sage HR Online Services (integrated with Sage 50 Payroll), or Sage HR Essentials CA/ZA (integrated with Sage Payroll Canada and South Africa) some of the permissions listed below only become active when you subscribe to the Core HR and Leave Management modules.

The list below does state when permissions require the Core HR or Leave Management module to become active.


EXAMPLE: You can give a role a permission to publish an announcement. However, this permission won't be active until you have the Core HR module which includes the Announcements functionality.


What permissions aren't available for Sage HR Essentials UK?

Sage HR Essentials is a 'lite' version of Sage HR, which comes included with Sage Payroll UK (Sage Business Cloud Payroll UK). It has some features of the Core HR and Leave Management modules, but some features are only available in the full Core HR and Leave Management modules.

What permissions aren't available for Sage HR Online Services UK?

Sage HR Online Services is a payslips portal hosted in Sage HR, and comes concluded with Sage 50 Payroll UK. It includes employee profiles and a section for payslips. However many Sage HR features aren't available until you subscribe to the Core HR and Leave Management modules.

Sage HR Online Services customers won't have permissions active for the following features

You won't be able to use any Time off permissions until you have the Leave Management module.

If you're a Sage 50 People Package customer, you have the Core HR module included in your package. This means all Core HR permissions would be active and ready to use.

What permissions aren't available for Sage HR Essentials CA/ZA?

Sage HR Essentials (Canada/South Africa) is a 'lite' version of Sage HR, which comes included with Sage Payroll Canada and South Africa (Sage Business Cloud Payroll). It has some features of the Core HR and Leave Management modules, but some features are only available in the full Core HR and Leave Management modules.

The permissions below are split between Core HR, Leave Management and Expenses. The permissions are in the order they appear in when selecting a permission to add to a role.

Core HR

Access assets reports

Provides access to reports about assets assigned to employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Access documents reports

Provides access to reports about documents in the company.


Access emergency contacts

Provides access to view emergency contacts of an individual employee, both in their profile and the Emergency contacts report. You can set this to just view or be able to edit emergency contacts.

📎NOTE: This is only possible to view if Emergency contacts is enabled within global permissions.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials UK.


Access employee data reports

Provides access to employee data reports.


Access employee information

Grants access to employee profiles. You can limit this to:

  • Just viewing the info card

  • Just viewing the profile

  • Editor access

⚠CAUTION: If you grant 'Anyone' access to edit, the user assigned to this role can change the Access level in other employee's profiles. For example, change a user from Employee to Admin.


Access employee login reports

Provides access to generate a report about the access logs of employees.


Access HR dashboard reports

Provides access to company stats reports in the HR Dashboard. These reports show data of all employees in the company.


Access notes in employee profile

Provides access to the Notes section of an individual employee's profile.

Access onboarding overview report

Provides access to the onboarding overview report.


Access onboarding tasks report

Provides access to the onboarding task status report.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Access training reports

Provides access to trainings and training events reports.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Add employees to training events

Provides access to add employees to available training events.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Add trainings

Provides access to add trainings to employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Adjust teams eligibility

Provides access to add and remove employees and managers to teams.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Approve and decline trainings

Provides access to approve and decline trainings of other employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Assign custom fields

Provides access to assign custom fields to other employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Complete trainings

Provides access to view added trainings and complete them.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Configure announcements

Provides access to manage and configure Announcements, including access to Announcement settings.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Configure custom fields

Provides access to create, edit and delete custom fields, and assign them to other employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Configure documents

Provides access to document settings.


Configure onboarding & offboarding settings

Provides access to offboarding and onboarding settings.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Configure Org chart

Provides access to view and edit the org chart via settings and the Company page. This doesn't give access to view or edit employee profiles.

📎NOTE: You can only set this permission to 'Anyone'. This means a user sees everyone in the Org chart. If there are employees you don't want others to see, delete the permission from their role, and don't assign them to a role with that has this permission.

Configure teams

Provides access to create, edit and delete teams, team settings, team members and team managers.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Configure termination reasons

Provides access to manage and configure termination reasons, including creating new termination reasons and editing and deleting existing ones.

📎NOTE: Only becomes active with the Core HR module, Sage HR Online Services, or Sage HR Essentials CA/ZA.


Configure trainings

Provides access to settings to configure trainings and training events.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Create an employee

Provides access to create and import new employees


Create documents from templates

Provides access to create documents from templates for selected employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA


Create signable documents

Provides access to create, send and track own eSignature documents.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Create, edit and delete employee compensation

Provides access to create, edit and delete the details of compensation in the employee profile.

📎NOTE: Only becomes active with the Core HR module.


Deleting signable documents

Provides access to delete signable documents for selected employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Edit and delete documents

Provides access to edit and delete documents for selected employees.

📎NOTE: Only becomes active with the Core HR module, Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Edit employee sensitive information

Provides access to edit sensitive information, which includes Race/Ethnicity, Gender/Sex, and Gender identity (US only) fields.

📎NOTE: To use this permission a user must also be assigned to a role with the View employee sensitive information permission and Access employee information permission set to at least Edit personal information.


Edit trainings

Provides access to edit trainings added to employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Give and collect assets

Provides access to give and collect assets from employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Manage account and subscription

Provides access to manage basic Sage HR account settings (such as changing company name, date & time format, changing logo, and others) and subscription package and billing details.


Manage assets

Provides full access to assets configuration, including inventory management and actions with assets.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Manage global roles and permissions

Provides access to configure all permissions and manage roles in your Sage HR company.


Manage onboarding and offboarding tasks for employees

Provides access to edit, create, or delete onboarding tasks.

📎NOTE: Removing this permission does not prevent people from being assigned onboarding tasks or completing tasks assigned to them.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Manage recipes

Provides access to manage and configure Recipes, including creating and editing recipes, setting new conditions, recipients and browsing history.


Manage security & integrations

Provides access to manage Sage HR security settings and integration parameters such as API access, Slack integration, SAML SSO parameters, automatic log out and others.

⚠CAUTION: Withdrawing this permission from a user with activated API access will invalidate API token and the API might stop working for your account.


Manage terminated employees

Provides access to the list of terminated employees and allows editing, deleting and re-hiring the terminated employees.

📎NOTE: Re-hiring option is only available for Sage HR companies not integrated with Sage payroll software.


Mass editing

Provides access to the Mass editing feature to perform batch changes to employee records. A user assigned to a role with this permission will be able to view and mass-edit all fields of all employees.


Publish and edit announcements

Provides access to publish new and edit existing Announcements.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Remove trainings

Provides access to remove trainings added to employees.

📎NOTE: To use this permission a user must also be assigned to a role with View trainings permission.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


Send tasks

Provides access to send tasks to other employees.

📎NOTE: Only becomes active with the Core HR module and Basic HR.


Terminate employees

Provides access to terminate employees as of a certain date.


Upload documents

Provides access to upload documents for selected employees. This can only be set to upload for Myself or Anyone.

📎NOTE: This permission will also provide reading access to employment information in the employee profile.

📎NOTE: Only becomes active with the Core HR module, Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


View and react to announcements

Provides access to the Announcements feed in Sage HR, as well as post comments and react to posts.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


View assets

Provides access to view assets in employee profiles.

📎NOTE: This permission will allow viewing the list of assets currently with the employee.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


View company directory

Provides access to the list of selected employees on the Company tab.

📎NOTE: This doesn't give any access to the employee profiles or info cards. To set access to employee profiles, assign a user to a role with the Access employee information permission.


View created documents

Provides access to view the documents that have been created by selected employees.

📎NOTE: Only becomes active with the Core HR module, Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


View custom fields

Provides access to view custom fields on profiles of other employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


View employee compensation

Provides access to the compensation tab in selected employees' profiles.

📎NOTE: This permission will also provide reading access to employment information in the employee profile.

📎NOTE: Only becomes active with the Core HR module.


View employee sensitive information

Provides access to view sensitive information, which includes Race/Ethnicity, Gender/Sex, and Gender identity (US only) fields.

📎NOTE: To use this permission a user must also be assigned to a role with the View employee sensitive information and View personal information permissions.


View Org chart

Provides access to view the org chart. You can only set this to Anyone which means users assigned to a role with this permission can see all employees,

📎NOTE: This doesn't give access to view or edit employee profiles. To set access to employee profiles, assign a user to a role with the Access employee information permission.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


View shared documents

Provides access to view documents that have been shared with selected employees.

📎NOTE: Only becomes active with the Core HR module, Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


View signable documents

Provides access to control who can see signable documents and signatories of those documents.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.


View trainings

Provides access to view trainings added to employees.

📎NOTE: Only becomes active with the Core HR module or Sage HR Essentials CA/ZA.

Leave Management

📎NOTE: These permissions require the Leave Management module. Some are also available with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.

Access birthdays and anniversaries report

Provides access to the Birthdays & anniversaries report for selected employees.


Access bradford factor report

Provides access to the Bradford factor report for selected employees.


Access employee time off report

Provides access to the Employee time off report for selected employees.


Access individual allowances report

Provides access to the Individual allowances report for selected employees.


Access leave management overview report

Provides access to the Overview reports for selected employees.


Access leave management reports

Provides access to give access to all time off reports instead of individually assigning access to each one.


Access long-term leave report

Provides access to the Long term leave report for the selected employees.


Access replacement persons report

Provides access to the Replacement persons report for the selected employees.


Access time off awaiting approval report

Provides access to the Awaiting approval report for the selected employees.

Access time off ledger report

Provides access to the Time off ledger report for the selected employees.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Access time off report

Provides access to the Time off report for the selected employees.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Access time off status report

Provides access to the Time off status report for the selected employees.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Access to employee time off balance

Provides access to the Time off tab in employee profiles and visibility of time off requests made.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Access unused days report

Provides access to the Unused days report for the selected employees.


Add time off request

Provides access to request time off. You can also set whether requests can be made for past dates.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Approve and decline time off requests

Provides access to approve time off requests for other employees, and receive time off request notifications.

📎NOTE: We recommend not assigning this permission to any of the default user roles. Instead use the options under in your Time off approvers settings.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Cancel time off request

Provides access to cancel time off requests or request cancellation.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Change time off balance

Provides access to manually change an employee's time off balance in the time off section of an employee's profile.

📎NOTE: To use this permission the user must be assigned to a role with the Access employee information permission.


Configure time off policies

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Edit time off request

Provides access to edit time off requests. You can also limit this to future dated requests, or to include past dates.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


Time off eligibility

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


View time off calendar

Provides access to view the Calendar. You can set this access to be, Basic, Basic and details, or Full information.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


View time off details

Provides access to view the time off details for time off requests, including leave dates, status, attachments. This permission covers pending, approved and declined time off requests.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.


View time off history

Provides access to view time off history and view and access time off requests on history lists for colleagues.

📎NOTE: This permission is also active with Sage HR Essentials UK, or Sage HR Essentials CA/ZA.

Expenses

📎NOTE: These permissions require the Expenses module.

Access expense reports

Provides access to the Expenses dashboard and Expense claims report.


Add and remove expenses group employees

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can add any employee to a group.


Add and remove expenses group managers

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can add any employee as an expenses group manager.


Approve and decline expenses

Provides access to approve and decline expenses.

📎NOTE: We recommend not assigning this permission to any of the default user roles. Instead make someone an expenses approver by assigning them as an expenses group manager or expenses administrator.


Create expenses

Provides access to create expenses for yourself or other employees.


Delete expenses

Provides access to delete expenses for yourself or other employees.


Edit expenses

Provides access to edit submitted expenses for yourself or other employees.


Expense categories configuration

Provides access to manage expense categories.

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can manage expense categories for all users.


Expense groups configuration

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can manage expense groups for all users.


Expenses administrator management

Provides access to manage expenses administrators.

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can manage expense settings for all users.


Expenses general settings

Provides access to manage Expenses general settings.

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can manage Expenses general settings for all users.


Payment types configuration

Provides access to manage payment types for expenses.

📎NOTE: You can only set this permission to Anyone. This means a user assigned to a role with this permission can manage payment types for all users.


Payout expenses

Provides access to pay out expenses.

📎NOTE: Instead of adding this permission to a role, we recommend controlling who handles expenses payouts in Expenses general settings and assign this function to either expense group managers or expense administrators.


Submit expenses

Provides access to submit expenses either for yourself or for other employees.


View expense

Provides access to view the expenses of other employees.
