Disable a user's login access

How to disable employees being able to log in to Sage HR. The same steps apply to enable access too.

You can stop users from logging in temporarily to Sage HR. For example, you want to set up your company or apply some settings before users access it. You can do this from the employee's profile, or use the mass editing tool to disable access to multiple employees.

📎NOTE: To permanently prevent a user from accessing your Sage HR company, you need to terminate and delete their profiles in Sage HR.

Enable or disable access for individual employee

  1. Go to the employee's profile as an admin. You can either search for them or browse to them via Company on the main menu.

  2. On the profile menu, click Employee.

  3. Scroll down to the bottom, then click Personal settings.

  4. Select Self-service access enabled if you want them to be able to access Sage HR. Deselect if you don't want them to be able to access Sage HR.

    📎NOTE: Inform the employee when you disable their access. This is to avoid them assuming their login or Sage HR is broken, and request your assistance in error.

  5. Click Save.

📌TIP: If you have disabled self-serve to give yourself time to set up Sage HR, we recommend you resend welcome emails to all employees in case links in their original welcome email have expired.

Enable or disable access for multiple employees

  1. As an admin, click your name in the top right.

  2. Click Settings, then click Employee data.

  3. Select the employees that you want to edit.

    📌TIP: You can click Select all on this page to update all currently listed employees. You must do this on each page if you have employees listed on multiple pages. You can use the Customise table option to show fewer fields so that more employees appear on each page.​

  4. Click the Update selected employees button that appears​.

  5. Under Update field select Self-service enabled, then under To: select No

  6. Scroll down then click Save.

  7. These employees now won't receive email notifications sent from Sage HR.

📌TIP: Make employees aware you've disabled their login access in case they query why they can't log in.

If you disable self-serve to give yourself time to set up Sage HR, we recommend you resend welcome emails to all employees in case links in their original welcome email expire.
