Allocate time off allowance for irregular hour workers

How to allocate holiday allowance for an employees that works irregular hours (UK only).

In the UK, irregular hours workers accrue time off at 12.07% of the hours they work in each pay period.

When they take statutory leave, they accrue 12.07% of their average weekly hours from the 52 weeks before the leave starts.

After you set an employee as an irregular hours worker, you can enter the hours they worked in a pay period to calculate their time off or determine what they should receive during statutory leave.


Allocate time off allowance from the employee's profile

  1. Click on the Time off tab of an employee's profile.

  2. Above their time off details, click Allocate time off allowance.

  3. Select the policy you want to allocate the time off to.

    📎NOTE: You can only select time off policies set for irregular hours.

The next steps depend on how you set up the employee's irregular time off policy.

How do you want to allocate the off?

After you choose which time off policy you want to allocate time off to, you need to select how you want the time off to be allocated.

Allocate time off accrued based on hours worked

In the UK, employees who work irregular hours accrue time off for 12.07% of hours they worked in a pay period. You can enter the number of hours they have worked in a pay period to allocate time off for that period.

  1. Enter the pay period start date and end date.

  2. Enter the number of hours the employee worked during those dates.

  3. Click Calculate.

  4. The amount of time to be allocated appears below the calculate button You can also see what information will appears in the time off ledger.

  5. Select the transaction date - this is the date the accrual will take place in Sage HR.

  6. Click Save.

The time off allowance is now allocated and appears in the employee's policy balance.

Allocate time off accrued on statutory leave

  1. Enter the hours worked in the 52 weeks prior to the employee's start date of their statutory leave.

  2. Enter the number of weeks the employee is on statutory leave.

  3. Click Calculate hours.

    The amount of time to be allocated appears below the calculate button. You can also see what information will appear in the time off ledger.

  4. Select the transaction date - this is the date the accrual takes place in Sage HR.

  5. Click Save.

The time off allowance is now allocated and appears in the employee's policy balance.

Based on timesheets

The hours worked and weeks on statutory leave fields are automatically populated based on approved timesheets.

  1. Click Calculate.

  2. The amount of time to be allocated appears below the calculate button You can also see what information will appears in the time off ledger.

  3. Click Save.

The time off allowance is now allocated and appears in the employee's policy balance.


You can see the added time off allowance added to the employee's policy balance. You can also see a note about it within the time off ledger.
