When you upload a document to Sage HR you can set an expiry date for it.

📎NOTE: Before you can set an expiry date, you must have set up at least one trackable document category.

  1. Upload a document as you usually would.

  2. Under category, select the category that is a trackable document category.

  3. Select which employee the document is for.

  4. Select the Type of document. Your options are determined by which were added within the trackable document category.

  5. Under Does this document expire?, select Yes.

  6. Select an expiration date.

  7. When finished, click Upload.

The document appears for the relevant employee just like it does for any other document. Either in the documents section on the main menu or the documents tab in the employee menu.

You can view, edit, or delete the document, as well as see its expiry date.

📎NOTE: Reminders for the trackable document expiring are sent 90 days before the expiry date and on the expiry date. They are sent to the Direct manager of the employee to whom the document has been uploaded.

You can change who the reminder is sent to and when by editing the following recipes that control it.

  • Email reminder: <trackable doc category> document expiring soon

  • Email reminder: <trackable doc category> document expired
