You can assign the Approve or decline time off requests permission to a role. Use this permission only when you need it. Broad use creates confusion about notifications and creates conflicts with time off approver settings.
This is why we recommend that you keep things simple and manage time off approver rights only in your time off approver settings.
What's the difference between time off approver settings and time off approval permission in a role?
Time off approver settings control who approves time off for each employee. For example, you choose whether an admin or the direct manager approves the employee's request.
The Approve or decline time off requests permission controls which employees a role can approve time off for.
One setting decides who approves time off for an employee. The other setting decides which employees someone has approval rights for.
šTIP: We recommend that you use only your time off approver settings. This keeps everything simple. The Approve or decline time off requests permission adds flexibility, but it also creates confusion and makes it harder to see why someone appears as an approver.
How to add the time off approver permission to a role
ā ļøCAUTION: Never add the Approve or decline time off requests permission to default roles like Direct manager or Team manager. This action conflicts with your time off approver settings. Create a new role first and add the permission there.
Step 1 - Create a new role
As you must not add this permission role to any default roles, you must create a new role first:
For details on which roles are default roles, visit our Default roles article
For details on how to create a new role, visit our Manage roles article
Step 2 - Add time off approval permission to a custom role
To give a role access to approve time off requests, add the Approve or decline time off requests permission to it. It's then your choice whether you want the user to be able to approve time off for:
Just themselves
Employees who report to them
Specific employees
Teams they're a team manager for
Teams they're in
Specific teams (which can include teams they're not part of)
Employees assigned to the same location as them
Specific locations
All users
