You choose how the system deducts days or hours from an employee’s allowance when you create a time off policy. This choice ensures the system removes the correct amount of time when an employee submits a request.
You can base deductions on each employee’s working days and daily hours by using their employment status.
An employment status defines an employee’s working days and non‑working days. To learn how to set them up, see our help article Set up employment statuses.
To use an employee’s employment status in a time off policy, select Calendar settings within the policy.
Create an employment status-based time-off policy
Create policy
Click your name on the top right, then click Settings.
On the settings menu, click Time off, then click Policies.
Click Add new policy.
Select Calendar settings
Select Calendar settings where it asks you what Sage HR should consider to determine working days and daily working hours for this policy.
Default working hours
When choosing Calendar settings, you also need to enter the default working hours. This is important in calculating remaining time off.
EXAMPLE: If someone takes a part‑day of four hours, and their default working day is eight hours, Sage HR will reduce their time‑off balance by 0.5 days
Count weekends as work days
If employees work weekends, and you want to treat weekends as work days for time off when time, select Count weekends as workdays. This makes all time off requests falling on weekend days count against the time off policy allowance.
📎NOTE: An employee's employment status determines what weekend days are. You can override the default weekend days, for example, make Monday and Tuesday someone's weekend days.
Count public holidays
If your employees work on public holidays and you want to treat those holidays as regular work days, select Count public holidays as work days.
When you enable this, all time off requests falling on public holidays count against the time off policy allowance.
📎NOTE: Depending on how you record time off on public holidays, this may affect whether you use this setting.
