Create a custom field

Create an extra field in Sage HR to record employee information. You can choose where it appears, who can access it, and which employees use it.

Sage HR includes default fields on employee profiles. You can create custom fields to record additional information for relevant employees.

📎NOTE: Custom fields are specific to Sage HR. They don’t sync with Sage Payroll or Sage 50 Payroll.

  1. Go to Settings.

  2. From the General settings menu, click Employee data.

  3. Click Custom fields, then click Add new.

  4. Enter a name in Field name.

  5. From Type, select the relevant type of custom field.

  6. If required, enter a field description.

  7. From Field location, select Personal or Employee. This determines whether the custom field appears on the Personal or Employee tab of the employee’s profile.

  8. Select the access settings you need:

    • Enable as filter in Calendar and Company pages

    • Enable as filter in Reports

    • Display field in Employee Info Card

    • Allow to fill this field when adding a new employee

    • Show this field to employee

    • Allow employees to edit this field

    • Show this field to manager

    • Allow manager to edit this field

📎NOTE: You can’t make a custom field mandatory. Employees can leave custom fields blank.

  9. Click Add.

  10. Choose who you want to assign to the custom field.

  11. Select Everyone to assign the field to all current and future employees.

  12. Alternatively, select Specific employees, then choose the employees you want to assign.

  13. Click Save.

📎NOTE: The filter options are only available for Dropdown, Multi-select, and Tags custom fields.

📎NOTE: Manager access settings only apply to the employee's team manager. The team manager also needs permission to access other employees' profiles.

These settings don't apply to the employee's direct manager. Make the direct manager a team manager if they need to view or edit the field.

The new custom field appears for the employees you selected.
