Review cycles are a great way to create reminders for things such as 1-to-1 meetings. You can control their frequency, who they are sent to, and add triggers so that employees are automatically sent an email or task as a reminder.
📎NOTE: Only users with administrator access can follow these steps.
Create a review cycle
Click your name in the top right, then click Settings.
On the settings menu click Performance, then click Review cycles.
Click Add new.
Name the review cycle.
Select a frequency - once you click Save, you cannot edit this to something else, so choose carefully.
Select which teams you want it to apply to.
Click Save.
📌TIP: To duplicate a review cycle click on the papers icon. To edit a review cycle click on the pencil icon. To delete a review cycle click on the rubbish bin icon.
Add a trigger to a review cycle.
Triggers allow emails and task to be automatically created. This helps remind employees and ensure that these review cycles get completed.
Trigger an email
Click your name in the top right, then click Settings.
On the settings menu click Performance, then click Review cycles.
On the review cycle and under the Triggers column click on e.g. 0 triggers.
Click Add trigger.
Select Send email.
Name the trigger.
Enter which day of the period of your review cycle that this will trigger.
Select who this will email to.
Enter an email subject.
Enter the content of the email.
Click Save.
Trigger a task
Click your name in the top right, then click Settings.
On the settings menu click Performance, then click Review cycles.
On the review cycle and under the Triggers column click on e.g. 0 triggers.
Click Add trigger.
Select Create task.
Name the trigger.
Enter which day of the period of your review cycle that this will trigger.
Select who this task is for.
📎NOTE: The teams you select in the review cycle limit which employees will be included. The Create task for option in the trigger filters those employees based on whether they're direct managers, employees without sub-ordinates, team managers, team members or both.
If you set the cycle to look at a team that has no direct managers in it and you select the trigger for All direct managers no-one on that team will get the task/email.
Enter a task title.
If required, enter a description for the task.
If required select Task deadline enabled, and enter how many days from creation date is the deadline.
Click Save.
📌TIP: To edit or a delete a trigger, on the review cycle click e.g 2 triggers, then on the trigger click on the pencil icon, or to delete it click on the trash can icon.
