For your employee to be able to log in to your Sage HR company, you must send them a welcome email. They use this to create their login.
How you invite your employees differs slightly depending on how you have Sage HR integrated.

You have the option to send a welcome email to an employee when you add them manually to Sage HR.
If you choose not to select this option because you want to invite them later after you finish setting them up, you can send it using the resend welcome email option.
📎NOTE: If you add an employee via an import template, this doesn't send them a welcome email. To send them a welcome email for the first time you must use the resend welcome email option.
This welcome email provides a link for an employee to create a password so they can log in, as well as their company workspace URL. This URL is where they can log in going forward. We recommend they favourite this URL.
📎NOTE: If you have G Suite or other Single Sign On integration with Sage HR, then no password is asked for.

When you add an employee by uploading payslips from Sage 50 Payroll a welcome email is sent automatically.
When you add an employee manually in Sage HR you have the option to send a welcome email as you add them. If you choose not to because you want to invite them later, you can send it using the resend welcome email option.
📌TIP: If you don't want an employee to receive a welcome until you've finished setting them up:
Add them manually in Sage HR.
Select not to send a welcome email.
Set up the employee.
You can either resend them a welcome email or send the welcome email when you upload the employee's payslips to link their HR and Payroll records together.
📎NOTE: When you use Sage HR integrated with Sage payroll software, all users use a 'Sage account' to log in.
When you send the employee a welcome email, if they don't already have a Sage account for their email address, they're prompted to create one.
If they already have a Sage account, they can log in to your company immediately with their existing Sage account details. They can reset their password using the 'Forgot your password' if they can't remember what it is.

If an employee exists in Sage Payroll (Sage Business Cloud Payroll), you can send an employee a welcome email using the 'Invite to Sage HR' option within Sage Payroll. This uploads any of their existing payslips and P60s to Sage HR and sends the employee a welcome email.
You can also send a welcome email as you manually create an employee profile within. If you choose not to because you want to invite them later, you can send it using the resend welcome email option or using the 'Invite to Sage HR' option within Sage Payroll.
