Employee's record not linked to Sage 50 Payroll after uploading payslip

Checks to make if an employee's Sage HR and Sage 50 Payroll records don't link after uploading their payslips.

When you add an employee manually in Sage HR Online Services or import them via an Excel template, a 'Missing payroll information' appears under their name in your company directory.

This means their Sage HR record isn't yet connected to their record in Sage 50 Payroll. Their profiles link the first time their payslips are uploaded, as long as the email addresses match.

If you've uploaded the employee's payslips, but still have the 'Missing payroll information' message, and can't see their payslips in either the company payslips dashboard, or within the employee's Payslip & P60 tab in their profile, this can occur for the following reasons:

  • The email address in Sage HR doesn't match Sage 50 Payroll

  • Employee has terminated Sage HR profile previously already connected to the Sage 50 Payroll record

Run through the checks in the section below.

Check employee email address

Make sure the email address in the Sage HR record (the one with the 'Missing payroll information' message) and email address in the analysis tab of their Sage 50 Payroll record match.

Do the email addresses match?

Yes

If the email address in Sage HR and Sage 50 Payroll do match, it's possible that when following the guidance to change an employee's email address, you didn't delete their profile after terminating them.

  1. Log in to Sage HR Online Services as an administrator, then on the main menu, click Reports.

  2. Click Employee data, then click Terminated employees.

Can you see their profile listed on this report?

Yes

  1. Click on the rubbish bin icon next to their name to delete them from the terminated employee report. This removes them from Sage HR completely.

  2. Upload the employee's payslips again from Sage 50 Payroll. This should link the Sage HR and Sage 50 Payroll records together.

📌TIP: If this still doesn't work, terminate and delete the Sage HR profile that has the 'Missing Payroll Information' message, then re-add them to Sage HR by uploading their payslips.

If you can't see an old profile in the terminated employee report. Terminate and delete the Sage HR profile that has the 'Missing Payroll Information' message, then re-add them to Sage HR by uploading their payslips.

If the email address doesn't match, this is why uploading payslips isn't linking the profiles together. It also means that a duplicate profile will have been created using the email address that was in Sage 50 Payroll.
