Change an employee's email address - No payroll integration

How to change an employee's email address if incorrect or needs to be updated (No integration with Sage payroll software).

If you need to change an employee's email address to a new one, how you do this will depend on the following:

  • Whether the employee ever created a Sage account from their welcome email

  • Whether the employee has access to the old email address

Go to their employee profile.

  1. On the profile menu, click Employee.

  2. Under Work email, click Change email address.

The next steps will depend on whether the employee ever created a Sage account under the previous email address.


Option to enter a new email address

If the employee never activated their login by creating a Sage account and signing into Sage HR, you will have the option to enter the new email address.

  1. Enter the new email address.

  2. Select Send welcome email for the employee to receive a new invitation to access Sage HR.

  3. Select Save changes.

The employee can then set up their new login from their welcome email sent to the new email address.


Employee has set up a Sage account

If the employee has activated their login by signing into Sage HR, you won't have an option to amend the email address and send a new welcome email. Instead, you'll have the following options:

  • Send instructions via email

  • Copy link to instructions

Change email address dialog. It shows confirmation of the employee name and explains they have to change their email address because they've setup their Sage account. Button 1 in the dialog reads: Send instructions via email. Button 2 in the dialog reads: Copy link to instructions.

The employee will need to log in at account.sso.sage.com to change their email address.

If you click Send instructions via email, this sends an email directly to the employee with the steps they need to follow to change their email address.

If you click Copy link to instructions, this copies a link to https://account.sso.sage.com that you paste into an email or message, etc to the employee.

📌TIP: Tell the employee to log in there and follow the steps in the article below to change their email address.


Once done, it will update their Sage account email address, which updates in the Sage HR company too.

Employee doesn't have access to their original email address

The employee will need to be able to access the original email address to complete this change. This is because the process involves a security step of confirming the email change.

If the employee can't access this email address, support may be able to change this for you. Contact support, and they'll be able to confirm whether they are able to change this for you.
