Manage a position in Recruitment

How to manage an open position in Recruitment in Sage HR.

When you're within the Position tab of the Recruitment area, when you click into a position, you have the following options:

  • Add applicants - This is one way you can add applicants to the position

  • Edit - How to make changes to the position

  • Mass editing - Select multiple applicants within the pipeline to select the same action to them:

    • Copy

    • Move

    • Send email

    • Disqualify

  • Duplicate - How to create a new position by duplicating this existing position

  • Complete hiring process

  • Cancel

  • Delete

You also have access to the following tabs.

Pipleline

The Pipeline tab shows the recruitment pipeline assigned to the position and its stages. It also displays all applicants for the position and their current stage in the recruitment process.

Stage actions

Select the cog icon next to a stage to configure actions that Sage HR runs automatically when an applicant moves to that stage.

You can set up actions to:

  • Send an email to the applicant

  • Send an email to the hiring manager

  • Trigger a scorecard for evaluation

You can use a custom email or select an existing email template. If needed, you can also create a new scorecard for the stage.

Calendar


The Calendar tab shows all recruitment events for applicants in the position's pipeline. This includes interviews, phone calls, and video calls scheduled from an applicant's profile.

You can filter the calendar to show all recruitment events or only the events you're involved in.

You can also sync the calendar with external applications, such as Outlook or Google Calendar, using the provided webcal link. Choose whether to sync all recruitment events or only those you're attending.

Activity

The Activity tab shows a history of changes made to the position, including who made each change and when it happened.

You can use this tab to track actions such as:

  • New applicants added to the position

  • Changes to the hiring team or position settings

  • Applicants moving between recruitment stages

Reports

The Reports tab provides an overview of applicants for the position, including both active and disqualified applicants. It shows how many applicants are in each stage of the recruitment pipeline.

The Sources section shows where applicants came from. This depends on the source you selected when you added the applicant or how they applied, such as a careers page or employee referral.

Documents

The Documents tab stores files uploaded for the position. Anyone with permission to view the position, such as hiring managers and administrators, can access and download these documents.

Use this tab to store resources that support the recruitment process, such as:

  • Interview scorecard templates

  • Recruitment guidelines

  • Hiring documentation

  • Other position-related resources
