Showing employees working from home

Ways you can show an employee is working from home (WFH) in Sage HR.

The system doesn't currently provide a dedicated feature to show when an employee works from home (WFH). However, you can use several workarounds, depending on whether an employee works from home on specific dates or full-time.

WFH on specific dates

When employees work from home only on certain days, you can use the following options.


Option 1: Shift Areas (Shift Scheduling)

If you use shift scheduling, create an area called “Home” or “Working from home”. Assign shifts to this area on the relevant dates.


This will allow users to see on the shift schedule when an employee is working from home.


Option 2: Time Off Policy (Leave Management)

If you use the Leave Management module, you can create a WFH time‑off policy so WFH days appear on the calendar.

Important limitations:

  • The system prevents employees from submitting another time‑off request (such as annual leave) on the same dates as WFH requests

  • The system does not allow overlapping time‑off requests

  • Employees must cancel, or managers must decline the WFH request before submitting another time off request for the same date


What not to do

Do not use the Location field in an employee’s profile to show WFH on specific days.

The Location field represents an employee’s permanent or primary work location, such as:

  • An office

  • A site

  • A country or region

If you set the location to “Working from home,” this implies the employee is a permanent remote worker rather than temporarily working from home on certain days.

WFH Full Time

When employees work from home permanently, use one of the following options.


Option 1: Location

Create a location called “Working from home” and assign it to employees who work remotely full-time.

Benefits:

  • Reports can filter by this location

  • The company directory displays the remote status

  • Calendars and other location‑based views reflect the correct work arrangement

Use this option only for employees who always work from home.

📎NOTE: Use the Location field only for an employee’s permanent work location.


Option 2: Custom Field

Create a custom field to show an employee’s work arrangement, such as:

  • Office‑based

  • Hybrid

  • Fully remote

This option provides clarity without affecting scheduling, time off, or location‑based features.
