When you submit or edit a time off request, after you click Submit you may see the following error:
There was an error
You need to use all your available days from "Annual Leave" policy before you can request this one
This occurs because an admin has enabled the following setting within the Conditions section of the time off policy:
Require another policy to be fully used before time off from this policy can be requested
To resolve this, the employee must have exactly zero days remaining in the other policy. Even if the balance displays as 0, the default decimal setting may be hiding a small fraction of a day.
Check for a hidden fractional balance
Sage HR rounds leave balances to the nearest whole or half day by default. This means a micro-fraction — for example 0.0016 days — can remain on the policy and block the request while the default display hides it.
To check whether a hidden fraction exists:
Go to Settings.
Click General and scroll to the bottom of the page.
Change the decimal display setting to 4 and click Save.
Navigate to the employee's time off balance for the policy named in the error.
If the balance now shows a small amount (for example, 0.0016), a fractional balance remains on the policy and is blocking the request.
To clear the fractional balance, use Change Balance to manually deduct the remaining amount, then ask the employee to try submitting the unpaid leave request again.
Other ways to resolve this error
If the fractional balance check doesn't apply, you can also:
Ensure the employee uses up the remaining balance in the other time off policy
Ask an admin to disable the Require another policy to be fully used before time off from this policy can be requested setting in the Conditions section of the time off policy
