It's possible to submit time off requests for future years. However, there are things you need to consider when doing this.
Viewing time off balances
You can only view balances for the current holiday year. Balances for the next holiday year become visible after the policy’s reset date.
For example, if your time-off policy resets on 1 January, you’ll see the new year’s balance starting from that date.
Do future requests affect the current allowance?
No. Requests for the next holiday year don't reduce your current year’s balance.
EXAMPLE: A company's holiday year is 1 January to 31 December. In 2025, an employee submits a time off request for a week off in February 2026. This will not reduce the balance for 2025.
Restrictions on submitting requests
You may be prevented from requesting time off for the next holiday year if there are pending requests in the current holiday year that need approval. These requests hold part of the available balance, blocking additional leave bookings to prevent exceeding entitlements. Sage HR can't determine which leave year to allocate pending requests to unless they are approved or declined, safeguarding against overbooking. Employees trying to book new leave may encounter booking blocks until pending requests are resolved.
Similarly, pending requests for next year might block you from submitting new requests for the current year. This is what can cause the error, 'The number of days you are trying to book exceeds available days on the selected period'.
📌TIP: Always clear outstanding approvals to avoid potential errors or inaccurate reporting.
Impact on reporting
Sage HR calculates one Period (holiday year) at a time in real-time. For accurate reporting, it's important to make sure that you approve or decline all requests before the period ends.
📎NOTE: Adding historical requests in previous periods will not affect reports that show balances.
