Reports in Sage Payroll and HR (ZA)

Payroll reports relate to your employees and financials (South Africa only)

Once in the Reports area, you can select the star icon on any of the reports within the Compliance and Payroll tabs to favourite them. You can then access them from the Favourites tab.

Before you start

Before you can generate reports you need to:

  1. Add a new company

  2. Add new employees

  3. Add a new pay run


Per Pay Run

Net Pay

A Net Pay report prints an employee payment breakdown, per pay run.

To generate a Net report:

  1. Select Reports then Payroll

  2. Click on Net Pay.

  3. Enter the below information

Select a desired Frequency

Pay Group

Select the pay group to be viewed on the report

Tax year

Select which tax year you’d like to print the report

Pay Run

Select your finalized pay run

Payment type

Select the payment

Report type

Select whether you need a summary or detailed report

4. Select Create PDF.

Pay Run Summary

A Pay Run Summary report is a summary of all employees per pay run, with pay components and taxes. To generate a Pay Run Summary:

  1. Select Reports then Pay Run Summary.

  2. Select a Pay Group, a Tax Year and a Pay Run.

  3. Select Create PDF.

Payslip

A Payslip report includes employee earnings, deductions and contribution values for a specific period, including year to date values.

To generate a Payslip report:

  1. Select Reports then Payslip.

  2. Select a Pay Group, a Pay Run, and an Employee.

  3. Select Create PDF.

Reimbursive Travel

A Reimbursive travel report shows a summary or detailed view of your employees’ travel reimbursements.

To generate a Reimbursement travel report:

  1. Select Reports then Reimbursive travel.

  2. Select a Tax Year, Finalised Month, Pay Group, the Report type, the preferred Employee(s).

  3. Select Create PDF


Compliance

EMP201

The EMP201 report gives you the monthly PAYE, SDL, UIF, ETI and amounts for the current periods

To create a EMP201 report:

  1. Select Reports then EMP201.

  2. Select the Tax year, Submission month, a Pay Group and the preferred Employee (s).

  3. Select Create PDF.

Employee tax incentive (ETI)

ETI year to date amounts and qualification criteria.

To create a Retirement funding report:

  1. Select Reports then Employment tax incentive.

  2. Select the Tax year, a Pay Group, the preferred Employee(s).

  3. Select Create PDF.

Occupational injuries & diseases (OID)

The W.As.8 and summary of your return of earnings (ROE)

  1. Select Reports then Occupational Injuries & diseases (OID)

  2. Select the Tax Year and Report type

  3. Select Create PDF.


Monthly

Medical aid

The Medical aid report gives you a detailed view of the year-to-date medical aid details per employee and pay group for the selected tax year.

To create a medical aid report:

  1. Select Reports then Medical aid.

  2. Select the Tax year, a Pay Group and the preferred Employee (s).

  3. Select Create PDF.

Retirement funding

The Retirement funding report gives you a detailed view of the year to date medical aid details per employee and pay group for the selected tax year.

To create a Retirement funding report:

  1. Select Reports then Retirement funding.

  2. Select the Tax year, a Pay Group, the Report type, Retirement fund type and the preferred Employee(s).

  3. Select Create PDF.


AD-HOC

Audit Trail

An Audit Trail report gives you details for a single user. You can select the user and the date range.

To create an Audit Trail report:

  1. Select Reports then Audit Trail.

  2. Select the User.

  3. Enter the Category.

  4. Enter the Properties.

  5. Enter the From and To dates.

  6. Select Create PDF.

Employee Variance

An Employee Variance report shows you the difference between current and previous pay periods for your employees.

To create an Employee Variance report:

  1. Select Reports then Employee Variance.

  2. Select the Pay Groups.

  3. Select the Tax Year.

  4. Select the Pay Run.

  5. Select the Employee.

  6. Select Create PDF

Payroll Journal

Payroll Journal shows a detailed record of the payroll transactions and is a GL integration reconciliation report.

To Create a Payroll Journal report:

  1. Select Reports then Payroll Journal.

  2. Select the Tax Year.

  3. Select the Pay Group.

  4. Select Create PDF.

Payroll Variance

A Payroll Variance report shows you the difference between current and previous pay periods for your pay groups.

To create a Payroll Variance report:

  1. Select Reports then Payroll Variance.

  2. Select the Frequency.

  3. Select the Pay Group.

  4. Select the Tax Year.

  5. Select the Pay Run.

  6. Select Create PDF.

Year To Date Detail

The Year To Date Detail reports contains the total of earnings, deductions and other totals for the year and also shows a breakdown of these per employee.

To create a Year To Date Detail report:

  1. Select Reports then Year To Date Detail.

  2. Select the Tax Year.

  3. Select the Pay Group.

  4. Select the Employee.

  5. Select Create PDF
