This article explains the process of sending T4 and Rl-1 forms to Sage HR. (Canada only)

The T4 is a summary of each employee's earnings and deductions for the year.

As an employer, you must submit T4 information to the Canada Revenue Agency (CRA) for all qualifying employees.

The RL-1, also known as Relevé 1, is a year-end tax form that reports the earnings and statutory deductions of a Québec employee in a tax year.


You must also provide a copy of the T4 and RL-1 to your employees, which can now be done by sending the tax document to Sage HR.

This needs to be done by the end of February.


Before you send T4s

You need to know whether you qualify as an employer. Some workers are not considered employees.

Your responsibilities

When you hire an employee, get their Social Insurance Number (SIN) and ensure they complete a Form TD1 Personal Tax Credits Return, so the CRA can work out how much tax you must deduct from their income.

You are responsible for making and reporting the appropriate payroll deductions for your employees. It's also your responsibility to provide your employees with the correct forms.

You must make the correct deductions each payroll period, then calculate and pay your share of their Canada Pension Plan (CPP) contributions and Employment Insurance (EI) premiums.

Due dates vary depending on the remitter type. Read about remitter types and due dates.


Send T4 forms to Sage HR

  1. Select submissions then federal tax forms

  2. Select New T4 form.

In the Send T4 tax documents to employees section you will have options for either:

Send T4 tax documents with a status of Not sent
or

Resend T4 tax documents with a status of Sent on a specific Date.
For example: ✔️Sent on 9 November 2022

Send T4 tax documents

  1. Select Send T4 tax documents.

    A confirmation prompt appears to confirm the process may take a while until the tax documents are available for your employees.

  2. Select Send.

    When the process is complete a prompt confirms Tax documents sent to Sage HR.
    Your employees can view the T4 when they log into Sage HR.

    If there is an issue sending the T4's to Sage HR, a prompt will appear asking you to try again.

    Resend T4 tax documents

If changes have been made that result in employees needing a new T4 upload to Sage HR:

  1. Select Resend T4 tax documents

    For example: ✔️Sent on 9 November 2022

  1. Select Send T4 tax documents.

  2. A prompt confirms the tax documents have previously sent and shows the date they were sent to Sage HR.

  3. Select Send.
    It can take a while for the documents to be available for your employees.

When the process is complete a prompt confirms Tax documents sent to Sage HR.
Your employees can view the T4 when they log into Sage HR.

If there is an issue sending the T4's to Sage HR, a prompt will appear asking you to try again.


Send RL-1 forms to Sage HR

  1. Select submissions then Québec tax forms

  2. Select New RL-1 form.

  3. In the Send RL-1 tax documents to employees section you will have options for:
    Send RL-1 tax documents with a status of Not sent
    or

    Resend RL-1 tax documents with a status of Sent on a specific Date.
    For example: ✔️Sent on 9 November 2022

How to send RL-1 tax documents

  1. Select Send RL-1 tax documents.

    A prompt confirms the process may take a while until the tax documents are available for your employees.

  2. Select Send.

    When the process is complete a prompt confirms Tax documents sent to Sage HR.
    Your employees can view the RL-1 when they log into Sage HR.

    If there is an issue sending the RL-1 to Sage HR, a prompt will appear asking you to try again.

Keep adequate records

The CRA requires you to keep adequate records for 6 years after you file each return.

Your records must provide enough detail to determine your tax obligations and support your deductions.
