How to add a new historical working pattern

You can set up historical working patterns to record when an employee has changed working patterns in the past.

  1. Click on your name on the top right, then click Settings.

  2. On the settings menu click Employee data.

  3. Employment statuses & Working patterns, then click Working patterns.

  4. Scroll down to Historical working patterns.

  5. Click Add new.

    📎NOTE: To edit an existing working pattern click the pencil icon.

  6. Select the employee.


  7. Select the Working pattern the employee was on.

  8. Select the dates the employee was on that working pattern.

  9. Once done, click Save.

    The working pattern now shows.


When would I use a historical working pattern?

Typically you would use a historical working pattern if you've added an employee and assigned them a working pattern, but they previously were working a different pattern

Alternatively, you may be wanting to temporarily move an employee to another working pattern.

Below are some detailed examples.

Example 1 - Employee had a different working pattern historically

You have added a new employee and assigned them to a part-time working pattern, Monday-Wednesday, 9am-5pm.

Until June 2022, they previously worked full time, Monday-Friday, 9am-5pm. You create a historical working pattern for them where they were assigned to your full-time working pattern from their start date until June 2022.

Example 2 - Employee temporarily changed working pattern

You have an employee that usually works Monday-Friday, 9am-5pm. In April 2022 only, the employee worked part-time, Monday-Friday, 9am-12pm.

You create a historical working pattern for them where they're assigned to your part-time working pattern for April only.

Example 3 - You forgot to change an employee's working pattern in real time

An employee was on a working pattern of Wednesday - Sunday, 7am-3pm.

You changed them to a working pattern of Friday - Tuesday, 7am-3pm on 28 February 2022, but didn't change their working pattern in Sage HR until a week later on 7 March 2022.

You create a historical working pattern for the week they were meant to be on their new working pattern.


How are time off balances affected by historical working patterns?

Whenever you add a historical working pattern for an employee, if an employee is on a working pattern-based time off policy, the system automatically considers how changes affect an employee's time off policy allowance.

Each time a historical working pattern is introduced, modified, or deleted from the employee's working pattern timeline, the system automatically triggers the pro-ration of their allowance if it is a labour-based time off policy. Also, employees' time off requests will be re-considered each time new information about their working pattern has been introduced.

This makes it easier to ensure an employee's time off allowance is always correct whenever their working pattern is amended.
