ERROR: 'Account already taken'

Resolve the “Account already taken” error in Sage HR when you add an employee. This happens when the email already exists in Sage HR.

When you try to add an employee manually in Sage HR, you see the following error.

Account already taken

You see this error when the employee’s email already exists in Sage HR.

The email may exist in your company, a terminated profile, or another company.


Check existing profiles

  • Search for the employee in your company directory

  • Check the Terminated employees report

If you see the email exists in another profile, your options are to either:

  • Change the email address in that profile

  • Delete that profile to free up the email address


If you use Sage 50 Payroll UK integration

Upload a payslip to create the employee instead of adding them manually. Wait for a real payslip or upload a 'dummy payslip'.


If the email belongs to another one of your Sage HR companies

Ask Sage HR support to link your companies. This allows both companies to use the same email.


If the email belongs to a different employer

Ask the employee to contact their previous employer to delete their profile.

📌TIP: To avoid encountering the 'Account already taken' error in the future, consider providing employees with official company email addresses. This means they won't conflict with previous employers.


Use another email

Add the employee using a different email address if available.
