How the permissions configuration affects the visibility of time off events in the calendar

The information employees can see from a Time-off request of another colleague depends the configuration of your permissions.

The information of an employee's time off request is visible in places like the calendar and the dashboard. When you hover over the date itself, details will show, although this will depend on the configuration of the permissions.

Where are the permissions?

There are three permissions controlling the visibility of the time-off requests:

  • Employee Permissions - To access these options click on your name on the top right, click Settings, then on the settings menu click Permissions, then click Employees.


  • Show "details" - This is on the same page as Employee permissions, but further down

  • Team Managers permissions - Click on your name on the top right, click Settings then on the settings menu click Permissions then click Team managers.


Permissions configuration

There are three different configurations that have an impact on what information a Team Manager and/or Employee can see in Sage HR. By default, in a new account, the second option in Employee permissions is active.

There is also a configuration that controls if details are shown when hovering over a time off request in the calendar. In a new account, it is not enabled by default.


Configuration breakdown

Employees can see all other employees:

This configuration enabled allows both Team Managers and Employees to see the time off request record information of any other employee.

  • Admins - Can see everyone and everything

  • Team managers - Can see Dates, Policy and Details section.

  • Employees - Can see Dates and Policy.

    If Show "details” is enabled - Employees can see time off request details of other teammates in calendar.

    If Show "details” is disabled - Employees cannot see time off request details of other teammates in calendar.


Employees assigned to a team can see all other employees from their team

This configuration enabled allows employees to see other teammates time off.

📎NOTE: This is enabled by default.

  • Admins - Can see everyone and everything

  • Team Managers - Can see Dates(s), Policy and Details section of time off of team members of their own team.

    If Team Managers can see all company employees is enabled in Permissions> Team manger - Managers can see Dates(s) and Policy of other employees out of their own team.

    If Team Managers can only see employees from their own team is enabled in PERMISSIONS > Team manger - Managers cannot see any information of other employees out of their own team.

  • Employees - can see Date(s) and Policy.

    If Show "details” is enabled - can see time off details of team members from other teams.

    If Show "details” is disabled - Employees time off details of team members from other teams (this is the default configuration.)

Employees can only see their own time off

This configuration enabled allows employees to see only their own time off requests and calendar.

  • Admins - Can see everyone and everything

  • Team Managers can see Dates(s), Policy and Details section of time off other team members of their own team.

    If Team Managers can see all company employees is enabled in PERMISSIONS > Team manger - Managers can see Dates(s) and Policy of other employees out of their own team.

    If Team Managers can only see employees from their own team is enabled in PERMISSIONS > Team manger - Managers cannot see any information of other employees out of their own team.

  • Employees - Can see Date(s) and Policy only of their own time off requests.

    If Show "details” is enabled - can see time off details of team members from other teams.

    If Show "details” is disabled - Employees time off details of team members from other teams (this is the default configuration.)

📎NOTE: Sage HR integrates with many other products, like GSuite and Microsoft 365. This means whatever information is visible to the user in Sage HR is exported to other services. Therefore if a Team Manager or Admin can see the details from time-off requests of other employees, these details are exported to the third-party system.
