Record a break in service for an employee

Record a break in service in Sage HR using position history. This helps you show gaps such as leave, sabbaticals, or contract breaks.

You can record a break in service using the Positions feature. This shows a clear timeline of the employee’s role before, during, and after the break.

You must create a position for the break, then add it to the employee’s position history.


Step 1: Create a 'Break in Service' position

You only need to do this once. Once the position exists, you can reuse it for any employee.

  1. Click your name in the top right.

  2. Click Settings.

  3. Click Employee data.

  4. Click Positions.

  5. Click Add new.

  6. Enter a name, for example Break in Service.

  7. Enter a description if needed.

  8. Click Add.


Step 2: Add the break to the employee's profile

  1. Open the employee profile.

  2. Click the Employee tab.

  3. Note the current Employment start date.

  4. Change it to the employee’s original start date.

  5. Click Save.

  6. Click New position.

  7. Enter the start date of the break.

  8. Select Break in Service.

  9. Click New position again.

  10. Enter the return date.

  11. Select the employee’s current role.

  12. Change the Employment start date back to the return date.

  13. Click Save.

The profile shows the original role, the break, and the current role. The position history creates a clear timeline.

📌 TIP: You can name the position anything that suits your organisation. For example, 'Career Break', 'Sabbatical', or 'Maternity Leave'. Use a consistent naming convention so the position history stays easy to read.
